For registered student organizations, there are a variety of available meeting rooms, event spaces, and informational locations with a reservation. Please complete your reservation request using our <a href=\"https:\/\/www.mtsu.edu\/mtunions\/facilityrequest\/\" data-type=\"link\" data-id=\"https:\/\/www.mtsu.edu\/mtunions\/facilityrequest\/\">Facilities Request Form<\/a>. <\/p>\n\n\n\n<p>For external users, the perimeter sidewalks adjoining public streets are available for use without a reservation. In addition, external users may use the Student Union Commons without payment of a rental fee. To facilitate adequate availability for other external users and spontaneous student use required by T.C.A. \u00a7 49-7-2401 et seq., however, a reservation is required and may be obtained using the process set forth below. Please use our <strong>\u201cHow to Request Access to Campus\u201d<\/strong> guide below. Once you receive a confirmation, you will have all the details needed for the day of your visit. Keep your confirmation with you in case you are asked to verify your reservation or if any questions arise regarding space use. <\/p>\n\n\n\n<p>Please note that external users\u2019 access to campus is subject to limitations outlined in the Solicitation by Unaffiliated Groups and Off\u2011Campus Vendors procedures. For more information regarding how these groups may request access to campus, please visit our <a href=\"https:\/\/www.mtsu.edu\/mtunions\/solicitation-by-unaffiliated-groups-off-campus-vendors\/\">Solicitation by Unaffiliated Groups\/Off\u2011Campus Vendors Procedures<\/a> webpage. <\/p>\n\n\n\n<p class=\"has-text-align-left\">MTSU processes all reservation requests in accordance with <a href=\"https:\/\/www.mtsu.edu\/policies\/p100\/\">MTSU Policy 100<\/a> and <a href=\"https:\/\/www.mtsu.edu\/policies\/p103\/\">MTSU Policy 103<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-left\"><strong>Frequently Asked Questions<\/strong><\/h2>\n\n\n\n<h5 class=\"wp-block-heading has-text-align-left\"><strong>Pertaining to the use of the Student Union Commons by External Users<\/strong><\/h5>\n\n\n\n<p><strong>Where is the space designated for external users?<\/strong><\/p>\n\n\n\n<p>This area is the Student Union Commons. It is the grassy space directly in front of the Student Union. To facilitate adequate availability for other external users and spontaneous student use required by T.C.A. \u00a7 49-7-2401 et seq., external clients can reserve the Student Union Commons for no more than four (4) hours in any calendar week without payment of a rental or lease fee. Reservations may not be confirmed until fourteen (14) calendar days prior to the event date or as specified by contractual terms.\u201d<\/p>\n\n\n\n<p>Additional restrictions: Reservations cannot occur during the first two weeks of classes or during exam week.<\/p>\n\n\n\n<p><strong>Can I bring amplified sound?<\/strong><\/p>\n\n\n\n<p>If you wish to use amplified sound, please note this in the comments section of your reservation. Amplified sound requires an additional approval step, which our office will obtain on your behalf.<\/p>\n\n\n\n<p>Key guidelines:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Maximum of 3 hours of amplified sound per day<\/li>\n\n\n\n<li>To minimize interference with the educational environment, amplified sound is only permitted on the North Commons<\/li>\n\n\n\n<li>Equipment must remain 10 feet back from sidewalks to maintain clear pedestrian pathways<\/li>\n<\/ul>\n\n\n\n<p>For full details, please visit the <a href=\"https:\/\/eventcoordination.mtsu.edu\/wp-content\/uploads\/sites\/31\/2025\/02\/AmplifiedSoundGuidelines.pdf\">Amplified Sound Guide<\/a> to review the amplified sound guidelines.<\/p>\n\n\n\n<p><strong>Where can I park?<\/strong><\/p>\n\n\n\n<p>Individuals with an appropriate parking pass are welcome to park in any designated space on campus. Accessible spaces are reserved for individuals with the appropriate placard. Please visit <a href=\"https:\/\/parking.mtsu.edu\/visit\/\">MTSU&#8217;s parking and transportation<\/a> website for more information.<\/p>\n\n\n\n<p><strong>Can I get a same\u2011day reservation to use the Student Union Commons?<\/strong><\/p>\n\n\n\n<p>No, per <a href=\"https:\/\/www.mtsu.edu\/policies\/p100\/\">MTSU Policy 100<\/a>, all reservations require a 5-business-day (one-week) notice to allow time for necessary approvals.<\/p>\n\n\n\n<p><strong>How far out can I reserve space?<\/strong><\/p>\n\n\n\n<p>You may submit a reservation request as far in advance as you wish. However:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Confirmations can only be issued 14 days prior to the event date.<\/li>\n\n\n\n<li>Per MTSU Policy 100, students and on\u2011campus departments have priority for space use.<\/li>\n\n\n\n<li>If your requested date becomes unavailable, MT Unions staff will provide alternate options.<\/li>\n<\/ul>\n\n\n\n<p>If you reserve more than 14 days in advance, you will receive a tentative confirmation. Unless otherwise notified, your reservation will automatically become confirmed at the 14\u2011day mark.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to Request Access to Campus<\/h2>\n\n\n\n<p>Follow the link to the <a href=\"https:\/\/www.mtsu.edu\/mtunions\/facilityrequest\/\">Facility Request Form<\/a>.<\/p>\n\n\n\n<p>Once there, please use the steps below to complete your reservation.<\/p>\n\n\n\n<p>To make the process as simple as possible, follow this step\u2011by\u2011step guide:<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Title,\u201d enter the name of your organization.<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Type,\u201d select EXTERNAL from the drop\u2011down list.<\/p>\n\n\n\n<p>\u2022 Under \u201cPrimary Organization or Department,\u201d select EXTERNAL ORGANIZATION (you can type it into the box and it will appear).<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Head Count,\u201d enter the number of people who will be working the table.<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Description,\u201d write a brief sentence about what you will be doing (for example, collecting petition signatures or distributing information).<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Date and Time,\u201d select both from the available options. The calendar will only show dates at least five business days out.<\/p>\n\n\n\n<p>\u2022 Under \u201cLocation Search,\u201d type Commons and select SU Commons.<\/p>\n\n\n\n<p>\u2022 Under \u201cEvent Attributes,\u201d answer the required questions.
